Position Summary

The Food Pantry Programs Manager serves as a key member of the leadership team at West Suburban Community Pantry. The Food Pantry Programs Manager is primarily responsible for managing the Pantry staff running the daily operations, overseeing the client and inventory database, and ensuring cohesiveness across all pantry food programs. The Food Pantry Programs Manager ensures that West Suburban Community Pantry, which includes its store, school pantry, and online store, have high quality food service that can meet the needs of its clients. The Food Pantry Programs Manager reports to the Director of Operations.

Essential Job Functions

  • Manage and train all operations staff reporting to the Food Pantry Programs Manager role, currently includes 5 positions
  • Oversee all Food Programs, including the In Person Market, the Online Market, the remote locations, the Senior Home Delivery program, and the school snack program
  • Ensure all program changes and information is communicated to necessary stakeholders
  • Assess and improve food programming as needed to meet the needs of the community
  • Maintain inventory, sourcing from other vendors when needed, and ensuring that product is moving out to neighbors both through the In Person Market and the Online Market and Irene King
  • Monitor food costs and inventory for both food pantry sites and for the online store; provide training and communication to ordering staff as needed to remain on budget.
  • Oversee the inventory tracking system and client database which includes training staff and volunteers on its use and ensuring incoming donations and client visits are logged appropriately
  • Update and ensure product is added to the Online Market, adding new pictures to product items when they arrive, and ensuring all items have proper weight and price associated with each
  • Work with other volunteers and staff to ensure the integrity of the database, which includes checking entries and merging duplicates in a timely fashion.
  • Troubleshoots issues with the database with the web developer
  • Collect, maintain, and communicate data about the food programming services; report to Food Bank monthly and leadership as needed about numbers around neighbors using our services
  • Communicate with Food Bank about any order discrepancies, pantry closures, and retail donor issues.
  • Maintain Retail donor relationships, communicating when we are not able to pick up.
  • Responds to all non food-drive correspondence related to food donations
  • Maintains safe, secure, and healthy work environment
  • Attends staff meetings, required trainings, and pantry’s major fundraising events
  • Performs other duties as assigned by the Director of Operations or Executive Director

Qualifications

  • Bachelor’s degree
  • Minimum of 2 years experience in logistics and management
  • Ability to work with minimal direction
  • Ability to use various computer software programs
  • Strong problem-solving skills
  • Excellent written and oral communication skills
  • Ability to work with people in a professional manner
  • Ability to be open minded to new works ideas and methods
  • Knowledge of data analysis and forecasting methods
  • Excellent organizational and planning skills

Additional Information

This position is full-time 40 hours per week; this position requires flexibility in a work schedule. WSCP offers primary holiday and paid time off for all full-time employees. WSCP does not offer health benefits.

Typical hours would be Monday 8am-4pm, Tuesday 7:30-3:30, Wednesday 8am-4pm, Thursday (flexible), Friday 8am-4pm; occasional Saturdays.
